How to manage your stock on Furzo

This guide explains how to activate and manage stock levels for your products on Furzo. This is particularly important for physical items (prints, badges, stickers, goodies...) or limited digital editions, to avoid overselling and keep your customers informed of availability. But it can also be used as the number of «Slots» available for a commission.

Inventory management is mainly configured at product level, in the «Inventory» section.

When to manage stock

  • YES : Physical products (prints, badges, stickers, books, sculptures, etc.), limited series (even digital).
  • NO (generally) : Standard commission services (unless you sell limited «slots»), unlimited digital products, products configured with external redirection (stock is managed on the external site).

Steps to manage stock of a single product

  1. Accessing Inventory Options :
    • Edit the product for which you wish to manage stock.
    • In the edit page, find the «Product data» section and click on the tab or section you require. «Inventory».
  2. Activate Stock Management :
    • Check box «Manage stock?». This will activate the detailed tracking options for this product.
    • If this box is not checked, you will only be able to manually define a «Stock status» (In stock, Out of stock, Waiting for replenishment), but the quantity will not be tracked automatically.
  3. Set Initial Quantity :
    • Once the box is checked, the «Quantity in stock» appears.
    • Enter the exact number of units you currently have available for sale.
    • The system will automatically decrement this quantity when an order for this product is placed and paid for.
  4. Configuring out-of-stock orders :
    • The drop-down menu «Allow back-orders?» allows you to choose what happens when the quantity reaches 0 :
      • Do not authorize : Default behavior. The product will be displayed as «Out of stock» and can no longer be ordered.
      • Authorize but notify customer : Customers can still order the product, but will see a message indicating that it is out of stock and that there will potentially be a delay (e.g. «Available on order»). Ideal for items you produce on demand or restock quickly.
      • Authorize : Customers can order without special notification of shortages. Use this option with caution, and make sure you can fulfill these orders.
    • Choose the option best suited to your workflow.
  5. Set Low Stock Threshold :
    • In the «Low stock threshold», enter a number (e.g: 2).
    • When the quantity in stock reaches this threshold, you'll receive an email notification. This alerts you to the fact that it's time to restock or to consider withdrawing the product from sale. Go to 0 deactivates notification.
  6. (Optional) Sold individually :
    • Check box «Sold individually» if you want customers to be able to buy only one unit of this item per order. Useful for one-off items or very limited offers.
  7. (Optional) SKU reference :
    • The field «SKU» (Stock Keeping Unit) allows you to assign a unique reference code to your product (ex: PRINT_A4_FOX01). This is useful for your own organization and tracking, especially if you have a lot of products, but is not mandatory for stock management to work.

Inventory management for variable products

If you have a «Variable product» (with options such as size or color):

  • The stock management options are within each individual variation.
  • Go to the «Variations».
  • Unfold the details of each variation (e.g. «A4 - Mat»).
  • Here you will find the same options: Check «Manage stock?» for this specific variation, then set the «Quantity in stock», the «Out of stock orders», etc., only for this combination (e.g. you have 5 A4 Mats but only 2 A3 Mats).
  • You need to configure the stock for each variation you wish to track individually.

Keeping track of your inventory

Your Furzo vendor dashboard gives you an overview of your products, often showing stock status (In stock, Out of stock) and/or quantity remaining directly in the product list, allowing you to easily monitor your inventory levels.

Save your changes

  • Never forget to click on the main button «Register product» or «Update» after modifying the inventory parameters so that your changes are taken into account.

Accurate inventory management is a sign of professionalism. It improves the customer experience by avoiding disappointments linked to unavailable items, and helps you better plan your production or replenishments. Take the time to configure these options correctly for the products concerned
